How to update cost in Poster
You can't edit cost manually in Poster. It is calculated automatically using the weighted average cost method based on supply supplies.
How to fix an incorrect cost
There are two ways to fix cost:
Edit an existing supply. Find the supply for the required product within the current inventory period and correct its price or quantity. The cost will be recalculated automatically using the weighted average cost method.
Complete an inventory check and create a new supply. Use this option if you need to apply a new purchase price immediately instead of waiting for the weighted average cost to adjust:
- Open Inventory → Inventory check in the management console.
- Find the required product and enter 0 in the Actual Balance column.
- Run the inventory check. This will reset both the stock quantity and the current weighted average cost of the product.
- Create a new supply with the current purchase price. The system will automatically set the new cost equal to that price.
The cost of products and ingredients is averaged within the period between the last completed inventory check and the next one. f you enter an actual stock quantity during an inventory check, its cost will be averaged with the next supply in the new inventory period.
What affects cost
Poster updates cost automatically whenever there is stock movement:
- Supplies. Every new supply affects the cost. The system combines it with the existing stock and automatically calculates a new weighted average cost.
- Sales deduct products using the current weighted average cost. The cost recorded for a sale is the one that was valid at the time of the sale.
- Stock deduction reduce the stock quantity, which automatically affects the average cost of the remaining stock.
- Inventory checks record the actual stock quantities in the system.
- Changes to dishes. After you update a dish recipe, its cost is recalculated automatically based on the new ingredient quantities.
- Transfers between storages. A product is transferred together with its calculated cost.
When cost is updated
- After a supply, manual stock deduction, sale, inventory check, or transfer, the system recalculates cost automatically. In most cases, the recalculation is completed by the end of the day.
- If you add documents with a past date, the system automatically recalculates the entire product movement history starting from that document's date. If there are many such documents, the recalculation may take more than 24 hours.
Where to check cost
- Inventory → Stock displays the current cost of products and ingredients. Find the required item and check the Cost column.
💡 By default, cost is displayed across all storages in your account. To view the cost for a specific storage location, click Storage at the top of the page and select the required storage location.
- Inventory → Ingredient Movements shows the weighted average cost of products at the beginning and end of the selected period.
- Menu → Products, Ingredients, or Dishes lets you view the current cost of a product, ingredient, or dish. Unlike Inventory → Stock, this section displays the cost calculated across all storages in the account.
- Reports → Products displays the cost of products and dishes sold during the selected period.
How to set up cost tracking correctly
- Make sure all required storages have been created in Inventory → Storage locations.
- After creating a supply, verify that the product price and quantity are correct. Errors in the document will affect future cost calculations.
- Check your recipes in Menu → Dishes. Incorrect ingredients or quantities will affect the calculated cost of the dish.
- Record sales, stock deductions, and transfers in chronological order. If you create a document with a past date, keep in mind that the system will recalculate the cost of all subsequent inventory documents starting from that date.
- After adding supplies, completing inventory checks, or updating dishes, check the current cost in Inventory → Stock and the cost of sold products in Reports → Products. This helps identify and correct calculation issues more quickly.
Limitations
- Supplies can only be edited within an open inventory period.
- An inventory check with an actual stock of 0 resets both the cost and the stock quantity. Use this option only if the actual stock should indeed be zero.
- After making changes, the cost may not update immediately. During recalculation, it may temporarily be displayed as 0. This does not affect product sales.
