How to track work hours of employees who don't work with the register

To track the work hours of cooks or other employees who don't take orders, create an additional position with register access.

Track your employees' work hours to calculate their salary. To do this, set up staff time tracking, control the beginning and the end of the working day, and check your employees' shift information.

Staff time tracking is available on the Business and Pro pricing plans.

Set up staff time tracking so a shift starts automatically for an employee after they enter their PIN code at the register:

  1. Go to Settings → General in the management console.
  2. In Management settings, check the box next to Staff time tracking.
  3. Click Save.

Give employees who don't work with the register — for example, cooks — access to the register in Access → Positions. This lets a cook log in at the start of their shift and close it at the end of the working day.

  1. Go to Access → Positions in the management console, then create an additional position for the cook or edit an existing one and check the box next to Access to the point of sale.
  2. In Payroll calculation, enter a fixed rate for this position: per hour, per shift, or per month.
  3. Click Save.

☝️ Make sure the correct position is selected for the employee in Access → Employees.

💡 The system tracks worked time, not the employee's activity in the app. For example, a cook enters their PIN code at the register, which opens their shift, and closes it at the end of the day.


👨🏻‍🍳 Here's an example of how register use should look to track a cook's shifts:

  1. The cashier arrives at work and opens the cash shift.
  2. They tap their name in the top-right corner and switch to the cook's name.
  3. The cook enters their PIN code.
  4. The cashier switches back to their own name and continues working.
  5. To close their shift at the end of the working day, the cook taps their name in the top-right corner, enters their PIN code, opens the ≡ menu, and taps Finish shift.

If a cook arrives before the cashier, edit the shift start time:

  1. Log in to the register as owner or manager.
  2. Tap ≡ in the top-right corner and select All shifts.
  3. In the Staff shifts window, open the employee's card and edit the shift start time.

💡 If all employees finish work at the same time, the cashier can end all employees' shifts at once when closing the cash shift, by tapping Finish employees' shifts.
