How to restrict POS actions with an admin password

Choose which actions on the POS only an administrator can perform. To do this, set up an admin password request in the management console under Settings → Security.

 

Protect specific actions on the Poster POS with an admin password. To do this, open Settings → Security in the management console and choose when the POS should ask for the password.

You can set an admin password for 10 actions:

You can't set up an admin password request for any other actions on the POS or in the management console.


How to enable the admin password request

  1. Open Settings → Security in the management console.
  2. Scroll down to the Require admin password block.
  3. Select the required condition for each action.
  4. Click Save.
  5. Restart the POS: close the POS app and open it again.

After restarting, check the settings: perform a protected action on the POS while logged in as a waiter. The POS will ask for the adminr password.


How to disable the admin password request

To let employees perform an action on the POS without a password, set it to Never.

  1. Open Settings → Security in the management console.
  2. Scroll down to the Require admin password block.
  3. In the field for the required action, select Never.
  4. Click Save.
  5. Restart the POS: close the POS app and open it again to apply the changes.

💡 The Never value is available for all 10 actions and is set for them by default.


How to change the admin password

Open Settings → Security in the management console. At the top of the page, view or change the password in the Admin password field.

After changing the password, click Save and restart the POS so it starts working with the new password.


Which actions you can protect with an admin password

Deleting an item from an order

In the When deleting an item field, choose when the POS should ask for the password:

  • Always: the password is requested every time a product is removed.
  • After a check is printed: the password is requested if a bill has already been printed for the order.
  • After a ticket is printed: the password is requested if a ticket has already been printed for the order.

The same setting also applies to the Clear order button on the POS. If a password request is set for removing a product, it will also be requested when clearing an order. You can't set up the password separately for these actions.

Adding a discount

In the When adding a discount field, select:

  • Always: the password is requested every time a discount is added.
  • After a check is printed: the password is requested if a bill has already been printed for the order.

Canceling a promotion

In the When canceling a promotion field, select Always so the POS asks for the admin password to cancel bonuses or discounts on promotional products.

Generating a sales report

In the When running a report field, choose when Poster should ask for the password:

  • Always: the password is requested every time a report is generated.
  • For previous days: today's report opens without a password, but generating and viewing a report for any other day requires the admin password.
  • For waiters report: the password is requested if the report is generated for all waiters at once. If the report is generated for a specific waiter, no password is requested.

Splitting an order between guests

In the When splitting an order field, select:

  • Always: the password is requested every time an order is split.
  • After a check is printed: the password is requested if a bill has already been printed for the order.

Closing an order

In the When closing a receipt field, select:

  • Always: the password is requested every time an order is closed, including when accepting payment from a guest.
  • Without payment: the password is requested if the order is closed using the Without payment method, for example, to treat a guest on the house.

Adding a customer on the POS

In the When adding a customer from register field, select Always so new customers can be added on the POS only after entering the admin password.

Viewing the orders history

In the View orders history field, select:

  • Always: the password is requested every time the receipt archive is opened.
  • For previous days: receipts for the current day can be viewed without the admin password, but viewing receipts for any other day requires entering the admin password on the POS.

Adding a supply on the POS

In the When adding a supply on a tablet field, select Always so products can be added to storage from the POS only after entering the admin password.

Viewing the Devices section

In the When viewing devices field, select Always so only an admin can view the Devices section on the POS.


Which actions you can't protect with an admin password

The admin password request is available only for the actions listed in the Require admin password block in the management console. You can't combine several conditions in one field. Each action can have only one value.

You can't set up a password request:

  • for adding, changing, or removing the service charge percentage;
  • based on the order total or for specific employees;
  • separately for removing a product and clearing an order, since both actions use the When removing a product field.

To restrict employee access to sections of the management console, set up access rights for the employee's position in Access → Positions.
