How to add a barcode to products

Assign barcodes to products so you can recognize them quickly with a reader or tablet camera when processing an order at the POS.


To add a barcode to a product

  1. Open the product card:
    • if your account type is Cafe — open the Menu → Products tab;
    • if your account type is Shop — open the Catalog → Products tab.
  2. Add a new product or click Edit next to an existing product.
  3. In the Barcode field, enter the 13-digit barcode number.
  4. Click Save.
 
 After saving, use the barcode at the POS— scan it to quickly find the item.


To quickly check which products don't have a barcode

  1. Open the Menu → Products or Catalog → Products tab.
  2. Click Columns.
  3. Check the Barcode box.
  4. Check the Barcode column in the product table. Empty cells mean these products don't have a barcode yet.

Barcodes for products with size, color, or volume variants

If a product has several variants, choose a setup method based on the barcodes:

Product modifications. Create product modifications and enter a barcode for each one. When scanning, Poster automatically identifies the correct variant by its barcode.

Modifiers. Create a single dish with modifiers. Enter the barcode on the dish, then use modifiers to set up size, color, volume, price, and other differences between variants.


Barcodes for weight products

For weight products, enter only the first 7 digits of the product code in the Barcode field.

The next 5 digits represent the product's weight in grams, and the last digit is a check digit.

When weighing the product, the ticket scales print the full barcode, and Poster automatically reads the weight from it.

 

How to add a product to an order by barcode at the POS

To add a product to an order, tap 📷 in the top right corner of the POS and scan the product's barcode with a reader or tablet camera.

Poster automatically finds the product and adds it to the order.

💡 Use the SKU field as an alternative to a barcode. Enter the item's SKU code so a cashier can type it in manually at the POS and find the product without a scanner.


If the POS can't find a product by barcode

  1. Check that the barcode on the product card is correct and has no spaces.
  2. If you added the barcode recently, clear the cache on the POS to refresh the data.
  3. Search for the product again.

 

Limitations

  • One barcode — one item. Poster doesn't allow creating multiple products or dishes with the same barcode. If a supplier assigned the same barcode to several different products, resolve this with them.

  • Barcode changes by a supplier. If a supplier changes a product's barcode, update the Barcode field on that product's card in the management console. Changing the barcode doesn't affect inventory tracking: Poster tracks inventory counts by product, not by barcode.

  • Printing price tags with barcodes. To print price tags with barcodes, use the Price tag printing integration — it lets you choose the label format and design.
